Creating and Managing WebCT Accounts

Overview

Administrative Directors manage the Graduate accounts process.

The Director of Academic Computing manages the Undergraduate accounts process.

A letter designation is assigned to each program for billing purposes. It will appear after each name in the WebCT directory of accounts as well as the email directory and grade book in each course/seminar.

  • Master Business Administration – MBA

  • Master Diplomacy and Military Science - MDY

  • Master Information Assurance – MSIA

  • Master Criminal Justice – MJA

  • Master of Civil Engineering – MCE

  • Master of Military History – MMH (coming soon)

  • Master of Nursing Administration - MSN (coming soon)

  • Undergraduate – UG

Process

Designated staff in graduate and undergraduate programs will:

  • generate WebCT Enrollment Report from Banner to create enrollment spreadsheet with the following information: firstname, lastname, email address, course/seminar name, course ID number, and role (student or faculty).

  • send copies of enrollment spreadsheet to Embanet.

Embanet will:

  • create accounts.

  • enroll students in courses/seminars.

  • send Welcome message via email to all new WebCT users within 24 hours after the request is submitted.

  • send an email verification when accounts are created.

NOTE: Welcome message has subject line Important WebCT account information and includes links to the WebCT Interactive Tutorial and the Getting Started With WebCT sample course.

Billing

Embanet will send separate invoices and spreadsheets of accounts for each program being billed to Director of Academic Computing via email in .pdf format. Copies will be forwarded to Administrative Directors to verify accounts before paying. Any changes to accounts including deletions should be indicated directly on spreadsheet and returned to Director of Academic Computing.

Norwich University Accounts Payable will pay invoices and charge back each program as applicable.

WebCT accounts should be deleted for any student who withdraws from the program or any faculty no longer teaching in the program. Embanet will delete accounts upon request after 8 days of notification to users or immediately upon request.

TIP: Each course is directly associated with an instructor. Deleting instructor accounts will automatically delete a course, even if it’s archived. Assign multiple instructors for each course or reassign a course to another instructor before deleting instructor accounts.
